We are a leading tour  company specializing in safaris and mountain climbing experiences that unveil the breathtaking beauty and untamed spirit of this East African gem. Resilience expeditions is locally owned Tour company by two Tanzanians   namely Godwin Nyerere and Ally Msofe.

  1. When the terms and conditions apply

These Terms and Conditions shall govern the relationship between Client and Resilience expeditions (Travel Agent: Resilience expeditions; further- “the Company”) and apply in the following situations:

  • When you book a trip directly with us;
  • When you book a trip through our partners acting as our sales representatives;

When booking a trip with us directly or through one of our partners, which include various travel agencies and marketplaces, both sides automatically agree to be bound by these Terms and Conditions.

Please note that these Terms and Conditions stipulate the rights and responsibilities that you have while booking and taking part in our tours in Tanzania.

  1. Our warranties and representations

Resilience Expeditions upholds an unwavering commitment to excellence, ensuring every adventure is orchestrated with precision and authenticity. Holding all essential licenses and permits, we meticulously organize Kilimanjaro climbing expeditions and wildlife safaris in Tanzania. Our adept team of Kilimanjaro guides, wildlife safari driver-guides, and consultants are meticulously trained professionals, guaranteeing unparalleled service standards.

Resilience Expeditions, a distinguished tour operator, prides itself on transparent and accurate marketing and advertising practices, free from exaggeration or misrepresentation. We meticulously oversee every facet of your adventure, with the exception of accommodations in specific hotels and air travel services, which are expertly managed by our trusted partners.

Furthermore, Resilience Expeditions is dedicated to making a positive impact on Tanzanian communities. Beyond offering competitive salaries to local staff, we actively support community development initiatives such as the Rafiki Child Care Orphanage in Mirerani and the Climate Change Project under the 13 Climate Action Club.

Embracing environmental responsibility, we enforce rigorous “leave-no-trace” protocols to promote sustainable tourism and safeguard Tanzania’s natural heritage for future generations.   1. Treatment of your personal information

To ensure the seamless orchestration of your expedition, we kindly request specific personal details. This includes your full name, age, nationality, passport information, dietary preferences, and relevant medical particulars.

Rest assured, we prioritize the confidentiality and security of your information. Parts of this data will be shared with the administration of Tanzania’s wildlife areas for the efficient processing of entry permits. Additionally, selected details will be provided to our accommodation partners to enhance the comfort of your stay.

Your privacy is of utmost importance to us, and our meticulous handling of this information ensures a personalized and worry-free expedition tailored to your needs.   1. Booking with Resilience Expeditions follows a straightforward process as outlined below:
  2. Initiate Contact: Commence the booking process by reaching out via email or phone call to our offices. A designated travel consultant will be assigned to manage all aspects of your tour and maintain communication.
  1. Agreement and Confirmation: Once tour details are finalized, an invoice will be issued for the deposit to secure your booking. Confirmation occurs upon the successful deposit payment ( 20% of the total package cost ) with our travel consultant notifying you promptly.
  1. Payment Terms: Full payment for the tour is required 21 days before the scheduled commencement date, unless alternative arrangements are agreed upon in writing with our consultant. All Resilience Expeditions travel packages must be fully prepaid.
  1. Timely Payments: Timely payments are crucial, as they cover prepaid expenses such as hotel reservations and other tour-related costs in Tanzania. Failure to make payments without prior notification or arrangements may result in the cancellation of your booking.
  1. Cancellation Policies: Any deposit made may be forfeited according to our cancellation policies if timely payments are not met without prior notice.
  1. Transaction Charges: All transaction-related charges applicable to payments must be covered by the client. For wire transfers, both sender and receiver banking commissions are the responsibility of the client. A 3.5% surcharge applies to all credit card payments.
  1. Incomplete Payments: In the event of incomplete payments, the outstanding amount will be charged upon the client’s arrival in Tanzania.

This procedure ensures a clear and legally binding framework for booking with Resilience Expeditions, enhancing transparency and understanding between the client and the company.

Participation of Minors with Resilience Expeditions is subject to the following terms and conditions:

  1. Legal Age Requirement: Booking a wildlife adventure with Resilience Expeditions requires individuals to be of legal age, defined as 18 years or older. Bookings for minors must be made exclusively by their parents, legal guardians, or custodians. Those making bookings for minors are deemed to accept these Terms and Conditions on behalf of the minors, including assuming the associated risks and acknowledging the limitations of Resilience Expeditions’ liability.
  1. Accompaniment and Supervision: Minors must be accompanied and supervised by an adult client throughout the entirety of the adventure. The client assumes responsibility for the minor’s conduct and bears liability for any damages resulting from such conduct. While special attention is given to children traveling with Resilience Expeditions, it is explicitly stated that the company does not provide childcare or chaperoning services.
  1. Booking Approval: All bookings made on behalf of a minor are subject to the approval of Resilience Expeditions. The accompanying adult is solely responsible for securing permits, approvals, and meeting any other legal requirements necessary for the minor to travel to Tanzania. Resilience Expeditions disclaims any liability for the failure to comply with such requirements that may hinder the minor’s entry into Tanzania.

By engaging in the booking process for a minor with Resilience Expeditions, the booking party acknowledges and agrees to abide by these stipulations, ensuring a clear understanding of the legal framework governing the participation of minors in wildlife adventures.

For third-party bookings, including tour leaders, travel agencies, and other travel professionals, Resilience Expeditions introduces specific guidelines:

  1. Designated Contact Person: If you, as a tour leader, travel agent, etc., are facilitating a booking on behalf of others, you become the designated contact person for every tour participant. Your responsibilities encompass:
  2. Ensuring that all tour participants are informed about and consent to these unique Terms and Conditions, including the specifics of the tour package.
  3. Timely and accurate completion of payments.
  4. Comprehensive and prompt communication of all relevant information to tour participants. Any agreed-upon changes to dates or itineraries require your notification and the consent of participants.
  1. Providing accurate and timely information about tour participants, collected and verified by you. Resilience Expeditions disclaims liability for errors and omissions in this information.
  1. Group Dynamics: If you cannot assume responsibility for the above, it is recommended that each member of the group communicates and books individually with Resilience Expeditions.

By participating in a booking on behalf of others with Resilience Expeditions, you acknowledge and agree to adhere to these distinctive guidelines, ensuring effective communication and coordination between the booking entity and tour participants.

  1. Pricing Assurance:

Once your booking with Resilience Expeditions is confirmed, the agreed-upon price remains unchanged, barring the rare occurrence of the Tanzanian government increasing park fees, taxes, or other tourism-related payments. In such an unlikely event, we will promptly provide you with a copy of the relevant public notice. You will be presented with two options in case of a price increase:

  1. Cancellation and Refund: Opt to cancel your tour and receive a refund in accordance with our clearly outlined cancellation policies.
  2. Accept Price Adjustment: Choose to agree to the adjusted price and settle the difference accordingly with Resilience Expeditions.

Our commitment is to transparency and fairness in pricing, ensuring you are informed and empowered to make the best decision for your travel plans.

  1. Flexible Itineraries for a Seamless Experience:

Changes Initiated by the Client:

Any adjustments you wish to make to your itinerary are accommodated free of charge unless they result in additional costs for Resilience Expeditions. In such cases, any incurred expenses must be covered by the client.

If, for any reason, you choose to discontinue our tour after commencement, whether voluntarily or involuntarily, you assume responsibility for covering any extra costs arising from your decision. These costs may include, but are not limited to, transportation and accommodation expenses.

Should you miss any tour service, sightseeing, meal, or opt not to use any other service at your discretion, no refunds will be provided.

Changes Initiated by Resilience Expeditions:

While we strive for a seamless tour experience, unforeseen situations (e.g., route changes due to poor weather conditions) may necessitate alterations to your itinerary. Although rare, we commit to promptly informing you of any such adjustments.

External Factors Beyond Our Control:

Resilience Expeditions shall not be held liable for delays, disruptions, damages, or losses beyond our reasonable control. These events may include, but are not limited to, third-party actions, flight delays, and force majeure events.

Any additional expenses resulting from such changes or disruptions, such as extra accommodation and transportation costs, will be the responsibility of you or your insurance company.

Our commitment is to offer flexibility, transparency, and informed choices to ensure your journey with Resilience Expeditions is not only memorable but also adaptable to unforeseen circumstances.

  1. Changing Your Travel Dates:

Client-Driven Adjustments:

If you decide to tweak your travel dates after making payments, let us know at least 60 days before your original tour kick-off. Keep in mind that any new dates should fit within a year from your initial travel plans.

Important Points to Note:

Tanzanian airlines usually don’t reschedule flights, and hotels might slap on penalties for changing booking dates. Plus, they might adjust prices based on the season and availability.

Managing Extra Costs:

If there are extra costs due to date changes, you’ll need to cover them. Be mindful of potential penalties from accommodations and the quirks of Tanzanian airlines when thinking about switching up your travel dates.

Our aim is to make things flexible for you, but being aware of these details helps ensure a smooth transition for your Resilience Expeditions adventure.

  1. Cancellation Terms with Resilience Expeditions:

Client-Initiated Cancellations:

Understanding Penalties: In the event of a cancellation, lodges and airlines may apply penalty fees. To cover these, the following cancellation fees will be deducted from the deposit:

  1. A non-refundable 20% of the total package cost per person deposit, which remains transferable to alternative dates.
  2. A 15% cancellation fee if the cancellation occurs more than 60 days but less than 90 days before the scheduled tour.
  3. A 35% cancellation fee if the cancellation occurs between 30 and 59 days before the scheduled tour.
  4. A 50% cancellation fee if the cancellation occurs between 15 and 29 days before the scheduled tour.
  5. A 70% cancellation fee if the cancellation occurs between 7 and 14 days before the scheduled tour.
  6. No refund if the cancellation occurs within 0-6 days before the scheduled tour.

Important Note: Should penalty fees from lodges and airlines exceed the percentages stated above, the non-refundable amount will be adjusted accordingly. Bank commissions for fund returns will be deducted from the refund.

Rescheduling Policy: In the event of rescheduling instead of cancellation, lodges and airlines may consider a no-penalty deferral. If permitted, Resilience Expeditions will make efforts to reschedule the entire tour to new dates without alterations. The decision for a no-penalty deferral lies solely with the lodges and airlines, who retain the right to charge penalties irrespective of cancellation circumstances.

Insurance Recommendation: To safeguard against unforeseen circumstances such as illness or flight cancellations, it is strongly advised to obtain insurance with sufficient coverage for tour cancellation. This allows you to claim financial losses from your insurance company, with Resilience Expeditions providing the necessary proof of incurred expenses.

Cancellation by Resilience Expeditions:

Refund Guarantee: In the unlikely event of Resilience Expeditions canceling the tour for any reason, a 100% refund of any payments already made by the client will be processed.

  1. Travel Documents, Visa, and Entry to Tanzania: Obligations and Assurances.

As a participant in Resilience Expeditions, adherence to meticulous travel document requirements is imperative:

  1. Passport Compliance:

– Ensure the international validity of your passport extends a minimum of six months beyond your Tanzanian entry.

– Allocate a minimum of two blank pages for essential visa stamps.

  1. Tanzanian Visa Acquisition:

– Acquire your Tanzanian visa through the designated online application on the Tanzania Immigration Department’s website.

  1. Visa Insights as Guidelines:

– While Resilience Expeditions provides valuable visa-related insights, they are advisory in nature.

– For the most current visa and entry requirement information, participants are strongly advised to contact the Embassy of the United Republic of Tanzania.

  1. Financial Responsibility:

– Participants are individually responsible for covering all costs related to visas and entry.

  1. Entrance Assurance and Liabilities:

– Resilience Expeditions assumes no liability if, in an exceptionally unlikely circumstance, entry to Tanzania or any en-route country is denied.

– Participants acknowledge that failure to enter the country for any reason will result in no refunds and an inability to reschedule the tour, considering prepayments of park fees and incurred expenses.

  1. Accommodation Terms:

Accommodation in Hotels:

  1. Open Group Departures:

– Prices for open group departures cover shared accommodation in double or twin rooms. Solo travelers will be paired with a same-sex traveler for room sharing.

– Solo travelers preferring single occupancy must notify our managers during booking; additional charges for single supplements apply.

  1. Private Adventures:

– Accommodation specifics for private adventures are individually discussed and agreed upon with our consultants.

  1. Booking Notification:

– For safari and Kilimanjaro climbing tours, the included hotel accommodation is detailed in respective travel packages on our website.

– In cases of hotel unavailability, alternative options will be proposed before tour confirmation and payment acceptance.

Tented Accommodation on Mount Kilimanjaro:

  1. Sharing Basis:

– Kilimanjaro climbing packages include tented accommodation shared by two travelers per tent. Solo travelers will be matched with a same-sex traveler for tent sharing.

– Solo travelers desiring single tent occupancy must inform our managers during booking; additional charges for single supplements apply.

  1. Special Considerations:

– Single tented accommodation on the Marangu route of Mt Kilimanjaro and Mt Meru is not possible due to park regulations.

  1. Fitness and Medical Information: Your Well-being Matters
  2. Assessment of Fitness:

– It is your responsibility to evaluate your physical fitness for a Kilimanjaro climb or wildlife adventure and assess your health conditions.

– Our consultants can provide guidance upon your request, but we recommend seeking a qualified medical opinion if unsure.

  1. Medical Information and Form:

– We may request certain medical information and ask you to complete our medical form.

– If you have a pre-existing medical condition impacting your ability to visit mountainous or remote Tanzanian regions, we may require the form to be signed by a licensed medical practitioner.

  1. Consequences of Non-compliance:

– Failure to provide the medical form and have it signed may lead to tour cancellation with applicable fees, as outlined in the cancellation clause of these Terms and Conditions.

  1. Tour Participation Criteria:

– We reserve the right to decline your tour participation if, in our sole opinion, your medical condition poses a danger to yourself and/or other participants.

  1. Treatment of Medical Information:

– All medical information provided will be treated in accordance with the “Treatment of your Personal Information” clause in these Terms and Conditions.

  1. Cancellation Scenarios:

– We may cancel your tour participation without refunds in case of false, inaccurate, or incomplete medical information.

– Cancellation may also occur if your medical condition deteriorates during the tour, endangering yourself and/or other participants.

  1. Special Requirements and Timely Notification:

– Notify us of any special medical or dietary requirements at least 30 days before your scheduled arrival in Tanzania.

– While we strive to accommodate special needs, we are not liable for issues beyond specified requirements, and no refunds will be issued in such cases.

  1. Awareness of Local Facilities:

– Acknowledge that facilities and services familiar in your country may be unavailable or inaccessible in Tanzania.

  1. Travel Insurance Guidelines:

Embarking on our extraordinary adventures necessitates mandatory travel insurance. Without a proper insurance package, participation may lead to disqualification, and refunds won’t be applicable.

Kindly note that travel insurance isn’t typically part of our travel packages; however, it’s available as an optional extra.

Your insurance coverage should encompass critical elements: emergency medical expenses, evacuation, repatriation, cancellation, curtailment, and other reasonable costs during the journey.

For Mt Kilimanjaro climbers, ensure your insurance covers high-altitude trekking (up to 6,000 m/19858 ft) and helicopter evacuation.

Verify that your insurance provides ample coverage against all relevant risks. It remains your responsibility to inform your insurance provider about travel plans and associated hazards.

In the case of an insurance claim, promptly notify your provider and follow all procedures for indemnification/reimbursement. While we offer reasonable assistance, we cannot guarantee the claim’s outcome. Your proactive engagement ensures a smoother resolution in unforeseen circumstances.

  1. Vaccination Legal Disclaimer:

It is imperative to acknowledge that our guidance regarding vaccinations and immunizations for your visit to the United Republic of Tanzania is provided as general, non-medical advice. It is not intended to replace professional medical consultation.

We strongly recommend seeking counsel from a practicing, licensed physician to determine the necessity of any specific medical measures tailored to your individual health needs during your visit to Tanzania.

  1. Guide Authority and Safety Compliance:

It is imperative to observe and strictly adhere to the safety instructions and regulations outlined by our guides. The decisions made by our chief guide regarding all aspects of the Kilimanjaro trek, including expedition arrangements, team management, itinerary, objectives, and other related matters, carry authoritative weight and are considered conclusive.

In situations where, in the professional judgment of our chief guide, your physical condition or actions may pose reasonable risks to yourself or fellow participants, the chief guide has the authority to recommend a descent. In such instances, rest assured that our chief guide, accompanied by an assistant and designated porters, will facilitate and support your descent, prioritizing your safety and the well-being of the entire expedition team. Your safety is our paramount concern.

  1. Assumption of Adventure Risks in Tanzania:

By engaging in adventures with Resilience Expeditions, you explicitly acknowledge and accept the inherent risks associated with visits to remote areas, including National Parks and rural regions in Tanzania. Recognizing that medical assistance standards may vary significantly from your home country or be unavailable, you voluntarily assume full responsibility for evaluating and managing these risks.

Furthermore, you understand and agree that certain adventures provided by Resilience Expeditions, such as those involving wildlife encounters and high-altitude conditions, pose inherent health and safety risks. Your voluntary participation indicates your acknowledgment of these risks and your assumption of complete responsibility for them.

This acknowledgment serves as a release of Resilience Expeditions from any and all claims, causes of action, liabilities, losses, damages, injuries, or deaths arising from the inherent risks associated with your travels in Tanzania.

  1. Liability for Property Damage:

It is understood that deliberate destruction or damage to Resilience Expeditions’ property, including Kilimanjaro tents, safari vehicles, hired personal expedition gear, hotel furniture, and other items, will result in charges. Any indemnification for such damage or destruction is to be settled in Tanzania before your departure to your home country.

  1. Our Limited Liability with Subcontracted Services:

While Resilience Expeditions exercises utmost care in selecting partners for subcontracted services such as accommodation and local air carriers, you expressly acknowledge that we cannot control or assume responsibility for their performance. Hotel and lodge stays are subject to their respective terms and conditions, and airline relationships are governed by Conditions of Carriage and applicable aviation conventions.

Any claims arising from the performance of parties other than Resilience Expeditions and its employees fall outside our sphere of liability.

  1. Financial Responsibility for Regular Expenses:

You explicitly acknowledge your responsibility to carry a reasonable amount of money to cover incidental and regular travel expenses, including souvenirs, tips, meals (if not included), alcoholic drinks, and other similar expenses. Resilience Expeditions shall not be held accountable for any failure on your part to cover such expenses for any reason whatsoever.

  1. Expedition Equipment Guidelines for Resilience Climbs:

Within our Kilimanjaro packages, we supply comprehensive group camping equipment. However, your personal climbing ensemble, particularly attire for the ascent, is not included. It’s essential to bring your gear for the Kilimanjaro adventure, and our consultants will offer detailed guidance. If certain items are lacking, Resilience Expeditions provides the option to rent necessary gear, with associated fees beyond the tour price. Before initiating your Mt Kilimanjaro or Mt Meru climbing tour, our wildlife consultant may request an inspection of your personal equipment.

  1. Policy on Luggage and Valuables:

Resilience Expeditions disclaims responsibility for any luggage lost, damaged, or delayed by airlines or transportation providers beyond our control. In case of luggage loss or delay during a purchased Kilimanjaro climbing tour affecting climbing gear, Resilience Expeditions will furnish necessary items from our hiring shop free of charge. This provision is limited to items present in your luggage, with any absent items incurring regular costs.

Additionally, we do not undertake tracking the status of lost/delayed luggage or transportation to the hotel upon arrival. If your luggage arrives later than you, a delivery fee applies to transport it from Kilimanjaro International Airport to the hotel. You are responsible for securing valuables such as money, gadgets, jewelry, and personal possessions during our tours. Resilience Expeditions is not liable for any lost, stolen, or damaged property.

  1. Consent for Images and Marketing:

Participation in Resilience Expeditions’ adventures constitutes consent for the capture of photos, videos, and other media images by our employees and fellow tour participants. These visual materials, including your image, may be used for marketing, promotion, and advertising without royalty or additional payments. To exclude your image from capture, kindly inform our staff during the tour.

  1. Force Majeure Disclaimer:

Resilience Expeditions absolves itself of liability for events arising from force majeure, encompassing natural cataclysms, war, mechanical breakdowns, fires, civil disturbances, government actions, political unrest, insurrections, extreme weather, and other unforeseeable calamities beyond our control.

  1. Applicability of Tanzanian Laws:

In the event of disputes, Tanzanian laws shall govern proceedings.
